Switching ChMS Platforms Without Losing Your Donor History: A Practical Checklist

Moving from a free ChMS to a real one is usually the right call eventually — but the migration is where churches lose donor records, giving history, and years of notes. Here’s how to do it clean.

Every church that outgrows its first church management system hits the same wall: the software isn't the hard part, the migration is. Donor giving history, family relationships, background-check records, group membership — all of it has to survive the move, and most horror stories about ChMS switches aren't about the new platform being bad. They're about data that didn't come with it.

Know what you’re actually comparing

For churches under 200 people, the realistic shortlist in 2026 comes down to a handful of names: ChurchTrac starting around $10/month is the budget option with genuinely all features included at every tier. Breeze (now part of Tithe.ly) runs a flat rate around $72/month for unlimited people, and is consistently the pick reviewers point to for staff who need something usable on day one with no training curve. Planning Center is modular — People, Giving, Services, Check-Ins, Groups — and free to start, but the per-module pricing adds up fast once a church is running four or five modules at once; churches with more workflow complexity land in the $100–$400/month range depending on how many modules they turn on.

The decision isn't really "which one has more features." It's "which one matches how much staff time we have to run it."

The migration checklist that actually prevents data loss

  • Export before you evaluate. Pull a full CSV export from your current system — people, giving history, groups, notes — before you even start demoing new platforms. Some free tools make exports harder to find than they should be, and you don't want to discover that during a deadline.
  • **Confirm giving history imports as history, not as a bulk one-time entry.** Donors expect their giving statement to still reflect every gift by date when tax season comes. Ask the new platform directly whether historical gifts import with original dates intact — this is the single most common migration failure.
  • Map custom fields before migrating, not after. Background check dates, allergy notes, baptism dates — anything outside the standard name/email/phone fields needs a deliberate mapping plan or it silently disappears.
  • Run both systems in parallel for one giving cycle. Don't cut over the same week a migration completes. Run old and new side by side through one full month of giving so you can catch discrepancies before donors do.
  • Re-verify online giving forms are pointed at the new processor before the old one is cancelled. This sounds obvious and is still the most common way churches accidentally miss a Sunday's worth of online gifts.

The part that isn’t about software at all

A clean data migration protects records. It doesn't protect the relationship continuity that donor management is actually for — knowing who to check on, who just had a hard year, who's been quietly stepping back from giving. That's a leadership and systems problem more than a software problem, and it's worth thinking through who owns that relational thread during a platform transition, not just who owns the technical migration.
